GYM POLICIES

 

GV Muaythai Policies

We want GV Muaythai to be a safe, welcoming place for children, teenagers and adults to train. These policies explain what students and families can expect from us, and what we ask of everyone who attends. Hot weather and class cancellations

For the safety of students and coaches, all Peewees, Juniors & Teens classes are cancelled when the forecast maximum temperature for Shepparton is above 40°C. We use the Bureau of Meteorology forecast to make this decision.

We may also change or cancel a class when the forecast is 40°C or lower if conditions inside the gym, humidity, poor air quality, a power outage or another circumstance makes training unsafe. When classes go ahead in hot conditions, coaches may reduce the intensity of training and provide additional water and rest breaks.

We will announce cancellations on our Instagram & Facebook pages as soon as practicable. Please check for an update before travelling to the gym on a hot day.

If GV Muaythai cancels a paid class, we will let affected students or parents know what make-up class, credit or other remedy is available, taking account of the type of enrolment and applicable consumer rights.

Enrolments, payments and missed classes

Class availability, enrolment arrangements and current fees are provided when you enquire or enrol. Places in Peewees, Juniors & Teens classes are strictly limited.

Term enrolment reserves a place in a capped class for the full term. If a student misses a scheduled class because of illness, holidays or another personal reason, we do not provide a refund or credit for that missed class. Please let us know when a student will be absent. 

Child safety

 The safety and wellbeing of children and young people are priorities at GV Muaythai. We expect coaches, students, parents and visitors to treat children with respect and help maintain an environment where they feel safe to speak up.

Coaches provide instruction and supervision suited to each student’s age and experience. Bullying, harassment, intimidation and abuse are not accepted.

Parents and spectators must not coach, call out instructions to, or cheer on children during class. This helps students focus on their coach’s instructions and allows the coach to manage the class safely. Parents are welcome to support their children before and after class.

A child or parent can raise a concern with the head coach in person or by emailing info@gvmartialarts.com.au. We will take concerns seriously, respond promptly, and involve relevant authorities where required. If a child is in immediate danger, call 000.

Arrival and collection of children

 

Parents and carers are responsible for bringing children to the gym and collecting them promptly when class finishes. Please make sure your child knows who is collecting them and tell us if those arrangements change.

Students must wait for their coach’s instructions before starting training or using equipment. Please advise a coach if your child needs to leave early. If you are running late for collection, contact us as soon as possible.

Parents and carers are responsible for supervising any siblings or other children who come with them. Visiting children must remain seated quietly in the spectator area. They must not run around the gym, enter the training mats or ring, or play with equipment. This keeps the training area safe and allows the coach to focus on the class.

Training, equipment and sparring

Students must follow their coach’s instructions and train at a level appropriate to their age, experience and condition. Tell a coach immediately if you are injured, feel unwell, or need to stop.

Wear suitable training clothes and bring water. Coaches will advise what protective equipment is needed for each activity. Equipment used for contact training must be in safe condition.

Contact drills, clinching and sparring take place only with a coach’s permission and supervision. Students must control their techniques, respect their training partners and stop immediately when instructed. Peewee classes do not include sparring and involve only light contact.

A coach may change an activity or ask a student to sit out if continuing would be unsafe for them or someone else.

Health and injuries

Please tell a coach about any injury, illness or health condition that may affect safe participation, including a change in your condition during class. Parents and carers should provide relevant information for children and keep emergency contact details current.

Do not train when you are unwell or when training could worsen an injury or put others at risk. If an injury occurs at the gym, stop training and tell a coach immediately. In an emergency, we will seek appropriate medical assistance and contact the student’s emergency contact where possible.

Code of conduct

Everyone at GV Muaythai is expected to:

  • Treat coaches, students, parents and visitors with respect.
  • Follow coaching and safety instructions.
  • Use controlled techniques appropriate to the activity and training partner.
  • Respect differences in age, ability, background and experience.
  • Help keep the gym and equipment clean and safe.
  • Raise concerns calmly with a coach rather than escalating a dispute during class.

Bullying, discrimination, harassment, threats, deliberate excessive contact and unsafe behaviour are not accepted. Depending on the situation, a coach may give a warning, stop someone’s participation in an activity or class, or discuss whether continued training is appropriate.

Photos and videos

 We may take photos or videos during training for coaching purposes. We will seek parent or carer permission before photographing or filming an identifiable child for website, social media or other promotional use. 

Please tell us if you do not want yourself or your child photographed or filmed. Students and visitors must ask permission before photographing or posting images of other people, particularly children. If you want us to stop using an image in future promotions, contact us and we will consider the request promptly.

Privacy

We collect the contact, enrolment and relevant health or emergency information needed to organise classes, communicate with students and families, and support safe participation.

We use this information for gym operations and share it only where needed to provide our services, respond to an emergency, meet a legal obligation, or where you have given permission. We take reasonable steps to keep information secure and limit access to people who need it for their role.
